Refund & Cancellation Policy

1. Introduction

This Refund & Cancellation Policy governs registrations, delegate passes, sponsorships, exhibitor bookings, advertising services, and other paid services offered by Fenza Exhibitions Pvt. Ltd. for its events and platforms, including:

  • Asia Labex
  • Labotica Conclave
  • Laboratory Chronicle

2. Event Registrations

Once a delegate registration, visitor registration, conference pass, workshop pass, or event ticket has been successfully purchased, the registration shall be considered confirmed.

Registration fees are generally non-refundable except in circumstances specifically approved by Fenza Exhibitions Pvt. Ltd.

3. Delegate Pass Cancellations

  • Cancellations requested more than 30 days before the event may be considered for a partial refund after deduction of administrative charges.
  • Cancellations within 30 days of the event date are generally non-refundable.
  • No refunds shall be provided for no-shows or unattended registrations.

4. Exhibitor Bookings

Exhibition booth bookings, sponsorship packages, branding opportunities, and exhibition space reservations are non-refundable once confirmed and invoiced.

Any cancellation request shall be reviewed at the sole discretion of Fenza Exhibitions Pvt. Ltd., and cancellation charges may apply.

5. Sponsorship & Advertising Services

Payments made towards sponsorships, promotional packages, advertising opportunities, digital campaigns, directory listings, and publication services are non-refundable once work has commenced or promotional inventory has been reserved.

6. Event Postponement or Rescheduling

In the event that an exhibition, conference, summit, conclave, or related activity is postponed or rescheduled due to circumstances beyond reasonable control, all registrations and bookings shall remain valid for the revised event dates.

Refunds may not be available solely because an event has been rescheduled.

7. Event Cancellation by Organizer

If an event is cancelled by Fenza Exhibitions Pvt. Ltd. and is not rescheduled, affected participants may be offered:

  • A full refund of the applicable registration fee; or
  • A credit towards a future event; or
  • An alternative solution as determined by the organizer.

8. Force Majeure

Fenza Exhibitions Pvt. Ltd. shall not be liable for refunds, losses, damages, or expenses arising from circumstances beyond its reasonable control, including but not limited to:

  • Natural disasters
  • Pandemics or public health emergencies
  • Government restrictions
  • Acts of terrorism
  • War or civil disturbances
  • Transportation disruptions
  • Venue-related issues

9. Refund Processing

Approved refunds, if any, shall be processed through the original payment method used during registration or booking.

Processing times may vary depending on banking institutions, payment gateways, and applicable regulations.

10. Transfer of Registration

Subject to approval by the organizer, delegate registrations may be transferred to another representative from the same organization before the event date.
